Create/copy Mailbox
There are two ways to create a new mailbox. If you want to create a mailbox whose properties are not similar to any mailbox that has been added before, then press the "New Mailbox" button.
If you want to create a mailbox that is similar to an existing mailbox and that you only want to change in a few points, then please select the "Original Mailbox" in the table. This opens the detailed view of the mailbox. There you can create a copy of the mailbox by pressing the "Copy" button. The mandatory fields are marked with a red star behind the identifier. They are highlighted in red as long as they are not sufficiently filled out. In the mailbox dialog there are 5 tabs that can be used to edit a mailbox.
Basic data
The first tab "Basic data" contains the following properties of the mailbox:
- Email Address: The name of the team
- Incoming Server: The mail server through which the emails are received.
- Outgoing Server: The mail server through which the emails are sent
- Email User: The user name for accessing the mailbox
- Email Password: The password for accessing the mailbox
- Type: The protocol through which emails are received
- Takeover mode: Here you can specify how the email in your mailbox should be handled after it has been read into todo4teams. Select DELETE if the email should be deleted from the mailbox after it has been received. Select MOVE if todo4teams should move the email to a subdirectory of your mailbox. Please note: The MOVE option only works with IMAP mailboxes. We recommend always using an IMAP mailbox and the MOVE option so that the original email can be checked if there are problems displaying emails in todo4teams! todo4teams may not be able to display all types of emails correctly (embedded images, sounds, complex HTML formatting, etc.).
- Target Folder: The subfolder of the mailbox into which the emails are moved in MOVE takeover mode
- Target Minutes: Enter the deadline in minutes within which the incoming email should be processed.
- Assign owner and owner: If you want incoming emails to be automatically assigned an owner, activate this option and select a user. This user will then see the received emails in their ticket outbox and can monitor whether they are processed on time. This user can also correct the addressing and processing deadline of the emails. If you leave this option deactivated, the email tickets can be forwarded by the processors in the ticket inbox. The forwarding user then becomes the owner of the ticket and is responsible for it.
- Addressee: Set here which team the emails are forwarded to by default.
- Prio: Specify the priority given to the generated tickets.
- Filesystem Backup active: All incoming emails from this mailbox are saved by todo4teams in the file system in the original email format (as an EML file).
- Active: The mailbox is only read if this field is activated.
Signature
The second tab "Signature" stores the text (often formatted in HTML) that is used when emails from this mailbox are answered in todo4teams. It is automatically added as an email footer.
Properties
In the "Properties" tab, advanced settings for configuring the mailbox are entered.
Certificate
In the text field of this tab, you can store an email certificate.
An email certificate is used to ensure the security and authenticity of emails. It is usually issued by a certificate authority (CA) and is based on the public key infrastructure (PKI) process. It enables end-to-end encryption of emails using S/MIME (Secure/Multipurpose Internet Mail Extensions) or PGP (Pretty Good Privacy). This ensures that only the intended recipient can read the message and the recipient can ensure that the email has not been altered during transmission. Scripts
In the "Scripts" tab you can configure two scripts for a mailbox:
- Receive Action: This script is executed when an email is received from todo4teams. In this script you can store any business logic to optimally control the processing of the tickets.
- Send Error Action: This script is used to handle serious sending errors. It is configured in exceptional cases.
When you have made all the settings for this mailbox, you can press the "Save" button to set up the mailbox with these settings in the system. You can exit this dialog at any time by pressing the "Close" button.
